Gala Dinner · Palacio Neptuno, Madrid · 2025

Annual gala dinner for VidaCaixa's broker network at Palacio Neptuno, Madrid. Full audiovisual production with table mapping as the narrative thread of the company's appreciation event for its distribution channel.

The challenge

An annual dinner cannot resemble last year's.

The brokers' dinner has a specific difficulty: the guest returns. The same agent who attended last year comes back this year. If the evening is repeated with cosmetic changes, the network notices and the dinner loses value as recognition. The editorial challenge was not filling a room with good food — that goes without saying at a corporate gala dinner of this profile in Madrid. The challenge was to build something the broker had not seen at other events in the financial sector.

The venue added a further constraint. Palacio Neptuno is a historic early-twentieth-century palace in Habsburg Madrid, with high ceilings, mouldings, and proportions that command respect. Any scenic intervention had to dialogue with the existing architecture, not cover it up. Technical production had to be resolved without visual aggression: no exposed truss towers, no frontal LED screens breaking the reading of the room.

Bacus's response

The year's story, told plate by plate on the tablecloth.

Bacus proposed a single concept: turning the guest's table into the screen. VidaCaixa's year in commercial terms — channel milestones, product launches, explicit acknowledgement of the broker — was laid out as a visual sequence projected directly onto the tablecloth surface, synchronised minute by minute with the succession of menu courses. Each catering course opens a new chapter of the piece. Each chapter visually frames the next plate. The dinner stops being a backdrop for conversation and becomes the script of the evening.

The scenic design was limited to three sober moves: architectural lighting of Palacio Neptuno in VidaCaixa's corporate blue to dress the room without covering the stone; an exterior banner on the facade to mark the guest's arrival; discreet signage in the immersive welcome cocktail space preceding dinner. The visual language drew from the brand's graphic universe — deep blues, particles, digital sea, blue-tech panels — assembled as a single continuous narrative thread, not standalone bumpers between courses.

The menu was executed by Life Gourmet, Palacio Neptuno's regular gastronomy partner, in an immersive welcome cocktail plus formal seated dinner format. Bacus coordinated the overall art direction, the audiovisual script with Lumentium, the technical production of the table mapping, the architectural lighting of the venue, and the show direction on the day. VidaCaixa signed off on the narrative content, validated each audiovisual chapter, and on the day focused on what mattered: being with their network.

The experience

The broker enters the palace and understands that this night matters.

Arrival at Palacio Neptuno was designed as a ceremonious opening. A corporate banner marking the facade, uniformed reception staff, and entry into the immersive welcome cocktail space where each agent reconnects with colleagues from other network offices, exchanges the first conversations of the year, and shifts out of work mode.

The move to the dining room is made with the room already dressed in corporate blue and tables set for formal service. The moment the first course is served is the same moment the audiovisual piece activates on the tablecloth: the general light drops half a step, the projection opens the first chapter, and table conversation pauses for the seconds needed for the guest to register that this annual dinner is not like last year's. From there the rhythm is set by the coordination between service and mapping. The broker eats, watches, comments with the colleague alongside, raises a glass when their regional office appears in the script, and closes the evening with the feeling of having been personally named by the company to which they dedicate their commercial year.

The result

The network leaves the palace with material worth showing.

The dinner closed with the channel leaving the palace in small groups, photographs taken with the audiovisual piece as a backdrop, and animated conversation continuing into the street. The project's audiovisual partner, Lumentium, published an edited cut of the table mapping on their public portfolio, extending the life of the event beyond the evening and giving the broker channel verifiable material to show peers in the sector. Bacus repeated the format with the Barcelona network and maintains an active relationship with the client for subsequent editions.

Frequently asked questions · VidaCaixa Brokers Gala Dinner Madrid

What readers ask after this case.

  • Table mapping is the video projection technique in which the image is optically calibrated onto the surface of the tablecloth at each table in the room, rather than projected onto an external screen. It turns the guest's table into an active part of the event's narrative. The cost for a corporate gala dinner in Madrid depends on the number of tables to calibrate, the duration of the audiovisual piece, the level of content personalisation, and the complexity of the script synchronised with service. Bacus operates this format at the medium-high end of the professional market and prices each project on brief — guest count, venue, date, and event objective.

  • For corporate gala dinners in Madrid in a seated format of 100–200 guests, Bacus works with venues such as Palacio Neptuno in Habsburg Madrid, historic palaces in the city centre, five-star hotels with formal rooms, and singular spaces not open to the general public. The choice of venue depends on expected guest count, attendee profile, type of gastronomic service, technical budget, and logistics plan. Palacio Neptuno works particularly well for dinners in the financial and insurance sector due to its proportions, location, and compatibility with full audiovisual production.

  • Yes. Bacus produces annual channel dinners — broker networks, agent networks, partner networks — for clients in the financial and insurance sector in Madrid, Barcelona, and across Spain. The usual format is a formal seated dinner with full audiovisual production, a single narrative thread, and explicit recognition of the distribution channel. A typical brief arrives four to six months in advance, and venue, format, and content are confirmed in the opening weeks of the project.

  • A standard company dinner resolves catering, venue, and after-dinner. A broker dinner produced by a premium agency for the financial sector operates as a piece of corporate communication: the event has an editorial script, a year-in-review narrative of the channel, scenography that engages with the venue, audiovisual production synchronised with service, and show direction on the day. The broker perceives that the company has worked the event to the same standard it applies to its product, and that strengthens the commercial relationship through the following year.
